This document outlines the refund and returns policy for vacation rentals in Hawaii, specifically for RiverEstate.com. The policy aims to provide clarity on the terms and conditions related to cancellations, changes, and refunds for guests booking vacation rentals, while also protecting River Estate from potential financial losses.
Cancellation Policy
General Cancellation Terms
Initial Deposit Refund: The initial deposit is non-refundable if the cancellation is made less than 60 days prior to the arrival date. For cancellations made 60 days or more before check-in, a full refund minus a processing fee of $149.00 will be provided.
Refund Timeline: Refunds can take 7-10 business days to process and will be refunded to the original card used for the booking.
Cancellations Within 60 Days: If a reservation is canceled within 60 days of the arrival date, the full stay amount plus taxes will be retained. The damage protection charge and Transient Accommodation Tax will be refunded.
Cancellations Within 30 Days: Rent and taxes will be forfeited for any changes or cancellations made within 30 days of the arrival date.
No Refunds for Early Departures: No refunds will be issued for early check-outs or shortened stays after arrival.
Special Conditions
Covid-19 Related Cancellations: For cancellations due to Covid-19 related issues, such as illness or quarantine mandates, guests may rebook or cancel their reservation with the purchase of additional insurance at a rate of 6.95% of the booking.
Rebooking Option: If the accommodation is re-rented for the same dates and rate, a refund will be provided. Pro-rata refunds will be given for partial replacement reservations.
Non-Refundable Payments: All rental payments are non-refundable if the rental property remains unoccupied for the contracted rental dates.
Security Deposit and Damage Waiver
Security Damage Waiver Fee: A Security Damage Waiver Fee is collected with all reservations, covering unintentional damages up to $1500.00, provided they are disclosed to management prior to check-out.
Additional Policies
Smoking Policy: Smoking is strictly prohibited in all units and on the lanai. Designated smoking areas will be specified for each rental.
Pet Policy: Pets are not allowed in any of the properties.
Check-in and Check-out: Check-in is at 4:00 pm, and check-out is at 10:00 am. Late check-outs may incur additional fees unless prior arrangements are made.
Housekeeping: No daily housekeeping service is included. Additional housekeeping services are available for a fee. Guests are requested to start a load of colored laundry, run the dishwasher, and take out the recycling before departure.
Amenities: All residences are equipped with beach chairs, beach towels, washers, dryers, and hairdryers.
Energy Conservation: Guests are required to turn off air conditioning and fans when not in the house and close windows when using air conditioning to ensure efficient use of the solar system. Failure to comply may result in an additional fee of $250.
Sunscreen: Guests are encouraged to use reef-safe sunscreen to protect our valuable coral reefs. Please avoid sunscreens containing ingredients harmful to marine life, such as oxybenzone and octinoxate.
Emergency Information: The property is in a tsunami zone. In an emergency, please follow the provided instructions and evacuation map.
Driving and Local Regulations
Road Code of Conduct: Guests should familiarize themselves with the local road code of conduct, especially regarding single-lane bridges and rural driving conditions.
Haena State Park Passes: Guests intending to visit Haena State Park should book reservations in advance. Passes are released at 12 midnight Hawaii time and sell out quickly.
Alternative Car Rentals: Recommended car rental services include Chris Diaz, Kauai Rent a Car, Island Cars, Rent a Car Kauai, and Rent a Wreck.
